How Migration to NexiBook Works

Step by step: your Excel or CSV export, the import prepared by the NexiBook team, the report you review, and your approval.

What We Import The Steps What NexiBook Handles Day 1 Checklist

Section 1: What We Import

From your Excel or CSV export, the NexiBook team can import:

  • Clients, with contact details
  • Remaining credits and memberships, with expiry
  • Services and resources
  • Bookings
Tip

Never send anyone the password of your current platform account. You only send us the exported files (Excel or CSV).

Section 2: The Migration Steps

The final say is yours.

1

Create your NexiBook account

Sign up for the 14-day trial. No credit card is needed.

2

Export your data from your current platform

Download the export as Excel or CSV: clients, remaining credits and memberships with expiry, services, resources and bookings. If you cannot find the export option, ask your current platform's support. A universal Excel template is also available.

3

Send the files to the NexiBook team

Email the exported files to [email protected]. The NexiBook team can prepare the import from your file.

4

Review the report

Before anything is applied you see a report.

5

Approve the import

The import is applied only after you, the owner, approve it. Nothing changes in NexiBook until then.

Important

Keep your current platform active until you approve the import.

Section 3: What NexiBook Handles For You

You don't have to do everything yourself. Our team can prepare the import from your file, and you review and approve it.

Data Import

Send us your exported files (CSV or Excel) and the NexiBook team will:

  • Prepare the import from your file
  • Show you a report before applying
  • Apply the import only after you review and approve

Studio Configuration

Setup done by the NexiBook team from the Studio plan up (on Solo you set up yourself, with a step-by-step guide):

  • Creating all service types (group, semi-private, private, mat)
  • Setting prices and durations per service
  • Configuring resources (Reformer machines) with capacities
  • Recreating your weekly class schedule

Payments and Invoicing

  • Connect your existing Stripe account or create a new one, or enable Netopia for RON card payments
  • Payments go directly to your studio's company; NexiBook charges 0% platform commission
  • Invoicing is integrated with SmartBill and Oblio
  • Test a real payment to verify everything works

Instructor Accounts

  • Create accounts for each instructor
  • Set commission rates per instructor and per service
  • Assign instructors to the correct classes

Client Notification Template

A ready-to-send email template to notify your clients about the platform change:

Section 4: Day 1 Checklist

Your data is imported and approved. Here's what to do on your first day with NexiBook:

  • Log in to the admin dashboard and verify your client list
  • Review your class schedule: times, instructors, capacities
  • Test a booking as a client (open the booking link in incognito)
  • Test a payment
  • Verify that notifications work
  • Send the notification email to your clients (use the template above)
  • Update the booking link on your website, Instagram bio and Google Business
  • Set up instructor accounts and give them dashboard access
  • Review instructor commissions and credit packages
  • Cancel your old platform, only after everything works in NexiBook
Important

Do not cancel your old platform before verifying that everything works correctly in NexiBook. You have the 14-day NexiBook trial to verify.
